How 4U CRM collects, uses, and protects personal data across our website and platform.

1. Who we are

4U CRM (“4U CRM”, “we”, “us”) provides an all-in-one sales and marketing platform covering pipelines, funnels, automations, and customer conversations. This policy explains how we handle personal data when you visit our website, request a demo, or use the platform.

2. Information we collect

Account and contact data: name, business name, email address, phone number, billing details, and the information you submit through our contact and demo forms.
Customer data: the contacts, messages, pipeline records, forms, and other content you or your end clients upload into your 4U CRM workspace. You control this data; we process it on your behalf.
Usage and device data: log records, IP address, browser and device type, pages viewed, feature usage, and diagnostic information collected automatically when you use our services.

3. How we use information

We use personal data to provide and secure the platform, authenticate users, process payments, deliver support, send service notices, improve features, detect fraud or abuse, and meet legal obligations.
We send marketing communications only where permitted, and every marketing email includes an unsubscribe link. Service and billing notices are not marketing and cannot be opted out of while your account is active.

4. Legal bases for processing

Where the UK GDPR or EU GDPR applies, we rely on: performance of a contract (delivering the services you subscribe to), legitimate interests (securing, supporting, and improving the platform), consent (optional cookies and marketing), and legal obligation (tax, accounting, and lawful requests).

5. Cookies and analytics

Our website uses strictly necessary cookies to keep the site working and, where you consent, analytics cookies to understand how the site is used. You can control cookies through your browser settings; blocking necessary cookies may break parts of the site.

6. Sharing your information

We do not sell personal data. We share it only with service providers that help us run the platform — cloud hosting, payment processing, email and SMS delivery, analytics, and customer support tooling — each bound by contract to protect it.
We may also disclose data where required by law, to enforce our terms, or in connection with a merger, acquisition, or sale of assets, in which case we will notify affected customers.

7. White-label and agency accounts

If you resell 4U CRM under your own brand, you are the controller of your clients' data and we act as your processor. You are responsible for having a lawful basis to collect that data, for your own privacy notices, and for honouring your clients' privacy requests. We will assist you where we reasonably can.

8. International transfers

Our providers may process data outside your country. Where personal data leaves the UK or EEA, we rely on adequacy decisions or Standard Contractual Clauses together with appropriate technical safeguards.

9. Data retention

We keep account data for as long as your subscription is active. After cancellation we retain workspace data for a limited wind-down window so you can export it, then delete or anonymise it, except where longer retention is required for legal, tax, or dispute-resolution purposes.

10. Security

We use encryption in transit, role-based access controls, least-privilege administrative access, logging, and regular backups. No system is perfectly secure, so we encourage strong passwords, two-factor authentication, and careful management of who you invite to your workspace.

11. Your rights

Depending on where you live, you may have the right to access, correct, delete, restrict, or object to processing of your personal data, to data portability, and to withdraw consent at any time. Email privacy@4ucrm.com and we will respond within the timeframe required by law.
If you are an end client of an agency using 4U CRM, please direct your request to that agency first; we will forward requests we receive directly.

12. Children

Our services are intended for business use and are not directed at children under 16. We do not knowingly collect their personal data, and we delete it if we learn we have.

13. Changes and contact

We may update this policy as the platform evolves. Material changes will be announced in-app or by email, and the “last updated” date above will change.
